Open Position: Office Administrative Assistant

Job Opening:
Position: Office Admin Assistant
Starting Date: Immediate / Early May 2023
Job Scope:
- Re-format word documents according to standard templates
- Enter data accurately to our CRM (Client Relationship Management) database
- Use Quickbooks to generate invoices and update payments in the system
- Consolidate and prepare monthly sales reports and presentations for management team
- Coordinate and organise meetings – prepare meeting equipment, attend to visitors
- Manage inventory and procurement of office supplies, equipment and pantry items
- Liaise with vendors to get quotations and negotiate prices
- Provide support for onboarding new hires – setting up laptops and workstations
- Collaborate with HR and Marketing team to organise internal and external events (e.g. training, team building)
- Other ad-hoc activities assigned by the COO and the MD
Requirements:
- Minimum diploma qualification
- Minimum 2 years of experience in an office administration role or equivalent
- Prior experience in using MS Office (Word, Excel, Outlook)
- Strong written and oral communication skills in English and Chinese, in order to manage emails and calls from counterparts in Mainland China and Hong Kong
- Excellent organizational and time-management skills
- Attention to detail and being able to manage sensitive personal / business data
